Most organizations arrive asking for a product — programs, flyers, yard signs. What actually determines whether a job goes smoothly is the pattern behind it: how often it repeats, how fixed the deadline is, and how finished the artwork is when it arrives. Deadlines that cannot move

Some print has a date attached that was set by someone else. A memorial service, a school event, an election day, a trade show opening. For funeral and memorial printing in particular, the service date is fixed before anyone thinks about programs, which is why those jobs are reviewed first and why calling is better than waiting on email. Event printing and campaign printing work the same way — the deadline is the specification.

Work that repeats on a cycle

Churches and schools and PTAs tend to reprint the same formats week after week and term after term — bulletins, programs, newsletters, event handouts. The first order is the slow one; after that it is worth keeping the specification on file so a reorder is a phone call rather than a fresh conversation. Restaurants sit somewhere in between, since a menu is stable until a price changes and then suddenly is not.

Files that arrive at very different stages

Contractors and architects usually send a scaled PDF straight from CAD, and the questions are about sheet size, set counts and finishing rather than design. At the other end, nonprofits and real estate teams often design in Canva or a template, where bleed and resolution need checking before anything is committed to paper. Both are normal — but they need different conversations, which is why every file gets looked at by a person before production.
